All data is stored on UK-based servers. We use encryption for data at rest and in transit. Financial documents are retained for the duration of your engagement plus seven years as required by HMRC, after which they are securely deleted.
We do not sell or share your personal data with third parties for marketing purposes. We may share financial data with your appointed accountant at your direction. Our hosting and email providers are bound by data processing agreements.

MyBookkeepingServices provides bookkeeping, VAT records preparation, invoice management, payroll processing, and year-end pack preparation. We do not provide tax advice, file tax returns, or represent you before HMRC. Those services are the responsibility of your appointed accountant.
Services are provided on a monthly basis beginning on the date agreed in writing (including email). You may cancel with 30 days' written notice. No lock-in contracts apply.
Fees are as quoted and payable monthly in advance. Add-on services are charged at the rates specified in your engagement letter. We accept bank transfer and card payments. Late payments may result in service suspension.
You are responsible for providing accurate and complete financial documents in a timely manner. Delays in providing documents may result in delays to our deliverables.
Our liability is limited to the fees paid in the preceding three months. We are not liable for errors resulting from incomplete or inaccurate information provided by you. We do not accept liability for HMRC penalties arising from information provided by third parties.
All client information is treated as strictly confidential. We will not disclose your financial data to any third party without your express consent, except where required by law.
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.

We process your personal data on the lawful basis of contractual necessity — we need your data to provide the bookkeeping services you have engaged us for. We also process data where necessary to comply with legal obligations under UK tax and company law.
MyBookkeepingServices is the data controller for any personal data we process in the course of providing our services.
All data is stored within the United Kingdom. We do not transfer personal data outside the UK.
We do not use automated decision-making or profiling in relation to your personal data.
We retain your financial records for seven years from the end of the relevant accounting period, as required by HMRC. Other personal data is retained only as long as necessary for the purposes outlined in our Privacy Policy.
